Problem and solution

Why do API integrations keep failing?

Classify API failures and plan durable fixes for data mismatches, safe reprocessing, monitoring and ownership, starting with a first assessment.

Short answer

API integrations usually break not for one reason but through separate classes of error: authentication, rate limits, data validation and transient outages need different fixes. Classify the errors, verify the data contract and make reprocessing safe.

Separate failure types

Authentication failures, rate limits, invalid data and temporary outages should not share one retry policy. Group incidents using status codes, timestamps and masked request identifiers.

Check the data contract

Required fields, date formats, currencies and record identifiers must agree between systems. Verify API version changes and plan-specific limits against the provider’s official documentation.

Make retries safe

The remote system may have completed an operation before a network timeout. Use provider-supported idempotency or a unique business key to avoid creating a second order or payment.

Learning from the error log

An error list grouped by status code, time and masked request ID shows which class the problem is concentrated in. For example, if most errors are rate limits, the fix is not retrying but managing the request rate; if most are data validation, the problem lies in the field definitions of the two systems.

Define a lasting fix

The result should clarify error categories, retries, reconciliation, alerts and the responsible team. Do not log passwords or access keys; mask the fields needed for diagnosis.

Frequently asked questions

Two questions we are often asked on this topic.

Is retrying on every error right?

No. Retrying with limited, growing waits suits transient errors; repeating a validation or authorisation error does not fix it. Set a separate policy by error class.

Who should monitor integration errors?

Without a responsible team and a visible error queue, integrations break silently. Monitoring, alerting and ownership should be part of the integration's acceptance criteria.
