Technical design example

Technical Example: Connecting CRM and Project Systems

A technical design example linking a CRM opportunity to a project record while handling repeated events, outages and reconciliation; not a client case.

Short answer

This technical example shows an opportunity won in the CRM being passed to the project system. The master source is decided per field in advance, a repeated event does not open a second project, a limited retry is made during an outage and periodic reconciliation finds missed records. It is a design example, not a client case.

Example integration

This design transfers a won CRM opportunity into the project system. Customer information and scope move through a shared record, making the sales-to-delivery handover traceable.

Data flow

Receive CRM event → record the event → validate organisation and opportunity identity → match the destination project → create or update → write back the result. Define the authoritative source for each field first.

Duplicates and outages

Replaying an event must not create a second project. Use bounded retries during outages and route permanent failures to review. Periodic reconciliation finds missed records.

Adapting this example to your own tools

The example is not tied to specific products. For your own CRM and project tool, first verify each tool's event (webhook), API and rate-limit characteristics from official documentation; then design the field mapping and failure cases around your own workflow.

Evaluation

Test duplicate and out-of-order events, missing customer identifiers, rate limits and service outages. Relationship integrity and recovery are acceptance criteria alongside record counts.

Frequently asked questions

Two questions we are often asked on this topic.

Is this flow a real client implementation?

No; it is a design example showing our method. A real integration is designed and tested around the characteristics of your tools.

Which failure scenarios are tested?

Repeated event, out-of-order update, missing customer ID, rate limit and service outage. The acceptance criterion is not only the record count but also relationship integrity and recovery after an error.
